Position Title: Operations and Impact Associate

 

Location: Washington, D.C. (Hybrid)

Reports To: Executive Director

Position Summary

Soul Trak Outdoors is seeking a highly organized, systems-driven, and mission-aligned Operations & Impact Associate to serve as the internal backbone of our organization.

This role is responsible for strengthening organizational systems, coordinating cross-team priorities, and ensuring accountability across programs, communications, and grant deliverables. The Associate will work closely with the Executive Director, Program Manager, and Development team to ensure Soul Trak operates smoothly, efficiently, and in alignment with its strategic goals.

Key Responsibilities

  1. Organizational Operations & Systems
  • Own and maintain all internal systems architecture, including Google Drive, Dropbox, CRM (Salesforce/Wild Apricot), and Asana to support team efficiency
  • Ensure all organizational systems are structured, documented, and continuously updated for team use
  • Serve as system administrator across key platforms (CRM, Asana, communications tools) 
  • Coordinate organizational calendars, timelines, and key deliverables across departments
  • Lead weekly team meeting coordination, documentation, and follow-up on action items
  • Manage and maintain financial operations workflows, including receipts tracking, expense documentation, and reconciliation processes
  • Coordinate with finance stakeholders to ensure timely and accurate reporting

Manage and track volunteer coordination systems and engagement

  1. Grant Tracking & Organizational Accountability
  • Track grant requirements, timelines, and deliverables across programs
  • Coordinate with Program Manager and leadership to ensure all grant outputs are completed and documented
  • Support data collection (participant numbers, outcomes, etc.) for reporting
  • Assist in drafting and compiling grant reports and updates
  • Build simple systems to ensure deadlines and deliverables are consistently met

  1. Communications & Content Coordination
  • Own execution and coordination of communications systems, including newsletters, email campaigns, and social media workflows
  • Maintain brand assets, templates, and communication calendars
  • Manage backend systems (Canva, WordPress, email platforms) to ensure consistent external communications
  • Maintain consistency across communication channels (email, website, social platforms)
  • Coordinate with Program Manager and fellows to ensure timely collection of:
    • Program photos/videos
    • Participant stories
    • Program highlights
    • Survey responses
  • Support basic website updates and content management

 

(This role ensures communication happens—it is not solely responsible for content creation.)

  1. CRM & Systems Transition (Salesforce Implementation)
  • Support the organization’s transition from Wild Apricot and Google Sheets to Salesforce
  • Coordinate internally with staff and externally with development consultants during implementation
  • Assist in organizing, cleaning, and migrating data
  • Help establish workflows and internal usage practices within the new CRM
  • Support team onboarding and adoption of new systems

 

(This role is a coordinator and internal champion—not expected to be a CRM expert.)

  1. Program Alignment & On-the-Ground Presence (Support Role)
  • Attend select programs and events to support organizational priorities, including:
    • Tracking attendance and required data
    • Ensuring grant-related goals are met
    • Supporting content collection (photos, testimonials, etc.)
  • Help facilitate briefings or reminders to fellows/staff around:
    • Program goals
    • Expected deliverables (communications + grant requirements)
  • Support post-program debriefs and documentation

(This role does not design or lead programs. This role supports alignment, accountability, and documentation.)

Qualifications

  • Commitment to Soul Trak Outdoors’ mission of connecting communities of color to outdoor spaces while also building a coalition of diverse outdoor leaders
  • Based in the DMV area
  • Bachelor’s degree or equivalent experience
  • Strong organizational and administrative skills with high attention to detail
  • Ability to manage multiple priorities and timelines effectively
  • Strong interpersonal and communication skills
  • Experience with or willingness to learn CRM systems (Salesforce preferred)
  • Proficiency in Google Workspace 
  • Ability to work independently and as part of a team
  • Flexibility to work evenings, weekends, and attend select programs/events
  • Ability to work in person 2–3 times per week
  • Valid Drivers License

Preferred Qualifications

  • Experience in nonprofit operations, administration, or coordination roles
  • Familiarity with grant tracking, reporting, or data management
  • Experience with email marketing platforms or website updates
  • Reliable personal transportation preferred for travel to program sites and events

Work Environment & Expectations

  • Hybrid work environment with in-person collaboration
  • Occasional evening/weekend commitments for programs or events
  • Active participation in Soul Trak community experiences and key programs

Compensation & Benefits

    • Salary: $48,000 – $50,000 (based on experience)
